Kinki Nippon Tourist Co., Ltd. has been appointed as the official travel agent for the Congress and will handle all related travel arrangements, including hotel accommodations.

Hotel Accommodations

A block of rooms has been reserved by IEA/AIE 2007 Desk , Kinki Nippon Tourist Co., Ltd. for the convenience of the participants. The rooms are to be reserved on a first-come first-served basis. If your first choice of hotel has no vacancies, you will be assigned a room in a similar class of hotel. To ensure your reservation at the reduced congress rate, please make your hotel reservation at your earliest convenience. Please contact Kinki Nippon Tourist Co., Ltd. for room reservation using a PDF file booking form, and sent to IEA/AIE 2007 Desk , no later than June 1, 2007, Friday. The payment of deposit is10,000 yen per room is required. No reservation will be made without the payment of deposit. Payment must be completed in Japanese Yen by credit card (VISA, Master Card, American Express, JCB or Diners). If there are any problems, you can contact with Kinki Nippon Tourist for alternative arrangements.

Payment can be made by credit card (VISA, MasterCard, American Express, JCB or Diners Club), or you can contact Kinki Nippon Tourist for alternative arrangements. Written confirmation will be sent when your payment is completed.

Cancellation and Refund Policy

Please notify IEA/AIE 2007 Desk in writing if you wish to cancel your hotel accommodations . The following restrictions apply to cancellations:

HOTEL ACCOMMODATIONS

Cancellation or change of hotel reservations should be made in writing to IEA/AIE 2007 Desk, Kinki Nippon Tourist Co., Ltd. (KNT) during office hours (09:15-18:00, Mon. – Fri.). In case of cancellation of hotel reservation, your deposit will be refunded after deducting bank charge/commission and cancellation fee as follows.

2 days or more prior to the date of arrival: No cancellation fee
1 day prior: 50% of one night accommodation fee
On the Day of arrival or no notice given: 100% of one night accommodation fee

* Cancellation or change outside office hours, especially during the weekend shortly before the scheduled date of arrival, should be sent to both KNT and the hotel.
* Failure to check in on the arrival date without prior notice may result in automatic cancellation of the entire reservation.

General Information

Passport and Visa

All foreign visitors wishing to enter Japan must have a valid passport. Visas will also be required for some participants. For further information, participants are recommended to consult their carrier, local travel agencies, or the nearest Japanese Diplomatic Mission.


Health Documents

Visitors from most Western countries do not require health documents to enter Japan, but requirements vary depending on your country of origin. Travelers arriving from areas where chol-era or yellow fever is endemic require vaccination certificates.

Insurance

All conference participants are strongly advised to carry a proper travel and health insurance. The conference cannot accept liability for any accidents or injuries that may occur during the conference. Please consult your travel agency regarding the matter.

Foreign Currency Exchange and Credit Cards

The local currency is Japanese Yen. Major foreign currencies such as the U.S. Dollar, Euro, and Pound Sterling can be changed at the airport or authorized banks. It is possible that you may have trouble in changing money into local currency if you bring currencies other than the ones mentioned above. Banking hours are 9:00 to 15:00, Monday through Friday except on National Holidays. Major credit cards are widely accepted at hotels and shops, but cash advances on a credit card may not be widely available in Kyoto.

Postal Services

Hotels often provide basic postage services. Post offices are open daily except Saturdays, Sundays and public holidays.

Tipping

Tipping is not very common in Japan except when special services are requested.

Electricity

The electric current is 100V, 60Hz AC in western Japan (e.g., Kyoto) and is 100V, 50Hz AC in eastern Japan (e.g., Tokyo).

Time

Japan Time is 9 hours ahead of Greenwich Mean Time.

Climate and Clothing

The temperature in Kyoto in June varies between 19.1 degrees Celsius at night and 28.4 degrees Celsius during the day. The average humidity is 62%. Hotels and the venue are fully air-conditioned.

Privacy Policy

Kinki Nippon Tourist Co., Ltd. (hereafter “KNT”) will use personal information strictly for the purpose of communication with participants, administration of the conference and related events, and arrangement and receipt of services provided by transportation and accommodations etc.
KNT will provide personal data of participants to the conference secretariat, transportation companies and accommodation facilities and others within the scope necessary for the conference administration and travel arrangements.
