How to make reservation

Welcome to the online reservation site for 25th International Council of Museums (ICOM Kyoto 2019).
This page is for participants to arrange hotel accommodations. Please note that payment and hotel accommodations should be completed before the deadlines as listed under the "common information".
This website is managed and operated by Kinki Nippon Tourist Kansai Co., Ltd. (KNT) / Kintetsu International, the official agent of this conference. Please note that reservation of hotel accommodations cannot be completed without payments.

Hotel Accommodations

Hotel reservation can be made before August 1st 2019.

Hotel reservation is available from "MyPage".

After logging in "MyPage" with your ID and password, click on the "Hotel Accommodations" tab and proceed with your reservation.

  • Reservation period: Sat.August 31st - Sat. September 8th, 2019 (8 nights)
  • Hotel rates are per day per room in Japanese Yen, including service charge and consumption tax. Breakfast is included.
  • Rooms are reserved on first-come-first-served basis.
  • Room Type: Single (one bed room), Twin(two beds room)( No Twin Use. Corresponding Individually)

Common information

Various Payments

Payment for fee and full deposit for hotel accommodations should be made in Japanese Yen.

  1. Payment should be made by credit card (Visa, MasterCard, American Express, JCB and Diners Club).
  2. Payment should be completed by each deadline.


ICOM Kyoto 2019 Desk (KNT) will e-mail you a confirmation after the deadline, informing you of the completed registration, hotel reservation with the name of your hotel and other information which applies. Please be sure to bring the confirmation e-mail when you register at the venue and when you check-in at your hotel.


Cancellations are not accepted by telephone. Cancellations must be sent by e-mail to ICOM Kyoto 2019 Desk (KNT), icom2019-travel@or.knt.co.jp.


Hotel accommodations

Cancellation and change of reservation can be made online until hotel application deadline.
After the deadline, please notify ICOM Kyoto 2019 Desk(KNT) by e-mail to icom2019-travel@or.knt.co.jp.

Until 21 days before the night of stay No Charge
20 to 8 days before the night of stay 20% of accommodation charge
7 to 2 days before the night of stay 30% of accommodation charge
1 day before the night of stay 40% of accommodation charge
On the reserved day (before hotel’s check-in time) 50% of accommodation charge
On the reserved day (after hotel’s check-in time) 100% of accommodation charge
No show without notice 100% of accommodation charge
The date and time of the change and cancellation will be based on our working hours (Monday through Friday 9:30 - 17:30 [Japan time = GMT+9:00] except for national holidays.) After the working hours, cancellation will be made on our next working day, which may incur charges.

*Check-in after 10P.M. must be notified to the hotel in advance to avoid cancellation of reservations.
*If you do not show up on the check-in date, the rest of your reservation will be automatically cancelled.

Refund Policy for Hotel Accommodations

Refund will be made during or after the conference period, after deducting credit card service charges and the cancellation penalties.
The refund will be made to the same credit card.


Participants are advised to procure their own travel insurance, as the Organizing Committee will assume no responsibility for personal accidents, sickness, theft or property damage.

Requirements for application

For accommodations, agreement is required for 2 items below before making online application:


・All the information regarding the registration and hotel accommodations are to be announced on this website.

・Please download and read Agent-Organized Tour Terms and Conditions before applying.

・KNT and commissioned companies shall use personal information entered in the application form to contact the applicant, and shall also use the information within the scope necessary for arranging and providing the applied services.
